Why list on NearlyWeds

More of the right couples, less chasing

NearlyWeds is an Australian wedding directory where couples find, message, book and pay the businesses for their day. You bring the craft. We bring couples who are planning, and the tools to take a booking from first message to final payment.

  • A directory of checked businesses

Every new listing is reviewed by our team before it appears. Couples browse businesses that have been approved, which makes every listing easier to trust, including yours.

  • Found by couples who fit

Couples narrow Browse by category, area, guest numbers and price, and signed-in couples can see who is free on their date. Vendors show for weddings inside their service radius; venues for guest counts they can hold.

  • Requests with the details you need

A booking request arrives with the event date, the guest count, usually a package, and any notes. Every request and message comes from a signed-in couple.

  • Your terms, built in

Your booking fee, payment timing and cancellation policy are on your listing before anyone asks, and couples accept your own terms and conditions before they pay.

  • Payments chased for you

Couples pay through Stripe inside the app. NearlyWeds sends the payment reminders, and if a booking fee isn't paid in time, the booking is cancelled and the date is released.

  • One place to run it

Requests, chat, your calendar, payments, earnings and reviews sit together, with a Needs your attention list on your Home page so nothing slips.

Built for Australian weddings

  • Prices in Australian dollars
  • Celebrants checked against the Attorney-General's Department register
  • Reports that follow the Australian financial year
  • A real team reviewing listings and support requests

How listing works

From sign-up to live

Signing up is free. You choose whether you're a vendor or a venue, set up your listing, and our team checks it before couples can see it.

  1. Step 1: Sign up as a vendor or venue

Choose Vendor or Venue, enter your email and a password, then open the confirmation link we email you. It takes you straight into onboarding.

  2. Step 2: Set up your listing

A short wizard covers your details, location, booking and payment terms, photos and a first package. It saves as you go, so you can stop and come back.

  3. Step 3: Our team checks it

Every new listing is reviewed before it appears in the directory. We email you as soon as a decision is made, and you can keep editing in the meantime.

  4. Step 4: Go live

Approval makes your listing Live straight away. Couples can find you in Browse, message you and send booking requests.

What our team looks for

  • A logo
  • At least 3 photos in your gallery
  • At least one active package
  • A valid ABN
  • Stripe connected, so couples can pay you
  • Vendors: a service radius. Venues: a maximum guest capacity
  • Venues: every venue details question answered
  • Celebrants: how you're authorised to marry couples and, unless you only perform symbolic ceremonies, your registration number

Photos, an active package, your service radius or capacity and, for venues, every venue detail are needed before we can approve. A logo, ABN and Stripe are strongly recommended. Celebrant registration numbers are checked against the Attorney-General's Department register before you go live, and once a year after that.

While you wait

You'll see Thanks, we're reviewing your listing, with three stages: Submitted, In review and Live. Shortcuts take you to Add photos, Add packages, Set your availability and Connect payments, so nothing is left for later.

If we ask for changes

We'll email you, and a Changes requested card shows our reason and anything still needed. Make the changes, tap Resubmit for review, and your listing comes back to our team.

Tip: add your logo, three photos and a package during onboarding. Our team looks for them, so it speeds up approval.

Vendor or venue

Set up for the way you work

You choose your account type when you sign up, and it decides which app you see. Most things work the same for both. These are the places they differ.

Vendors

You offer a service, such as photography, catering, flowers, music or styling.

  • A category, and up to 2 more. Choose your main category, then add up to 2 more under Also offers. Couples searching those categories find you too.
  • A service radius. Set how far you'll travel, from 1 to 1000 km. Couples whose wedding is outside your circle won't see you when they search for services in their area.
  • Your address stays yours. Enter your business's address, or just your suburb and state if you work from home. Your public page shows only your state.

Venues

You run a place that hosts weddings, for the ceremony, the reception or both.

  • Your capacity. Set minimum and maximum guests. Couples who search for a guest count outside your range won't see your venue in results.
  • Venue details. Answer a short set of questions, listed below. Your answers appear on your listing, and couples can filter Browse by features such as pets, wheelchair access and a wet weather option.
  • Shown on the map. Your listing shows your venue's address and a map, so couples can see exactly where you are.
  • Pets
  • Children
  • Wheelchair access
  • Wet weather option
  • Ceremony on site
  • Accommodation on site
  • Dining or in-house catering
  • BYO alcohol
  • Parking
  • Minimum spend
  • Minimum bar spend

What you control

Your packages, your terms

You decide what you offer, what it costs, and when and how couples pay. Your packages, booking fee, payment timing and cancellation policy all show on your listing, so couples know where they stand before they ask.

  • Packages and prices

Show couples exactly what they get. Each package has a name, a description, up to 20 inclusions and one of four price types:

    • Fixed price
    • Starting from
    • Per guest
    • Per hour

Mark one as Most popular, reorder them, or hide a seasonal package without deleting it. As you type a price, the app shows roughly what you'll receive after NearlyWeds' 5% fee.

  • Your own terms and conditions

Add your own terms, such as setup times, overtime rates or what happens in bad weather. Before paying the booking fee, the couple must tick I accept [your business name]'s terms, and can't pay until they do. NearlyWeds' platform terms apply to every booking either way.

Each save creates a new version. We record who accepted, which version and when, and bookings you've already approved keep the version they were approved with.

  • Notice and final numbers

Minimum notice sets how many days ahead couples need to book. A couple who asks for a sooner date sees a warning before sending the request.

Final numbers due asks couples to confirm their guest count a set number of days before the wedding. Per guest packages are repriced for you when you accept.

Start from a preset, or set your own

In onboarding you pick a starting point for your booking fee, payment timing and cancellation policy. Change any of it later from your profile. The booking fee is part of the total, not an extra charge on top.

  • Custom

Tap Customise, or fine-tune any number later, to set your own booking fee, time to pay, balance due date, refund days and partial refund amount, and whether the booking fee is refundable.

What couples will see previews your refund timeline as you go.

  • Refund percentages apply to what's been paid so far, not the full price.
  • Each booking keeps the policy it was requested under, so later changes don't affect it.
  • If you cancel a booking yourself, the couple is refunded everything they've paid.

Availability

A calendar that keeps up

Couples can see when you're free on your listing once they've signed in, and filter Browse by their date. Your calendar keeps that true.

  • Block the dates you can't work

Block a day, a range, or the same weekday every week for 12 months, with a private reason only you see. Couples can't request blocked dates.

  • More than one booking a day

Have a second shooter or two spaces? Raise Maximum bookings per day. A day closes to couples once it holds that many confirmed bookings.

  • Send bookings to your own calendar

Subscribe from Google, Apple or Outlook with a private link. New, changed and cancelled bookings show up on their own.

  • Bring in busy dates from elsewhere

Import up to 5 calendars by their iCal link, so couples can't request days you're booked elsewhere. They refresh about every 6 hours, or tap Sync now.

There's nothing to sign in to: both directions use a private calendar link (an iCal or .ics address).

Handling requests

Every request, answered your way

New requests wait under Requests, oldest first, so the couple who has waited longest is on top. Open one to see the event date, guests, package and any notes, then choose your answer.

  • Approve

The couple is asked to pay your booking fee within your payment window. If they don't, the booking is cancelled automatically and the date is released.

  • Propose changes

Suggest a new total and, if needed, a new date, with a What changed note the couple sees. The booking shows Awaiting customer until they accept.

  • Decline

Not the right fit? Add a reason if you like, and the couple sees it. Declining can't be undone.

A request doesn't hold a date; approving does. If you already have a booking on that date, the request tells you before you answer.

Every booking has a clear status

  1. Awaiting approvalA new request for you
  2. ApprovedBooking fee due
  3. Booking fee paidThe date is secured
  4. Paid in fullNothing more to collect
  5. CompletedThe day after the event

Along the way you may also see Awaiting customer (changes you proposed), Declined, Cancelled and Expired (a request nobody answered before the event date).

After you say yes

  • Extras

Charge for an extra hour or an upgrade with Add line item. The couple accepts it, it's added to the total, and they pay it in the app.

  • Final guest numbers

Set when final numbers are due. When the couple sends them, accept or decline with a note. Per guest packages reprice automatically, and if the new price is below what's been paid, the difference is refunded from your Stripe balance.

  • Chat that knows the wedding

Each conversation shows the couple's date, guests and where, plus their latest booking with you. Quick replies, photos and push or browser notifications help you answer fast.

  • A record of what was agreed

Every booking keeps the package as it was requested, a change history and the version of your terms the couple accepted. When the booking fee is paid, you and the couple both get a confirmation email.

Earnings and records

Your numbers, ready when you need them

See how your business is tracking, find any payment in seconds, and hand your accountant tidy files at the end of the financial year.

  • Earnings

Totals for this month, last month, a financial year or all time, a list of outstanding revenue, and a breakdown by day, week, month, quarter or financial year.

  • Payments

Every booking fee, balance, extra and refund across your bookings, with NearlyWeds' fee and your net amount on each. Search by customer, reference or event date.

  • Invoices for our fee

NearlyWeds issues you an invoice for its fee each time a couple pays you, and a credit note when a refund returns part of it. View and print each one, or save it as a PDF for your accountant.

  • CSV exports

Download your payments and a monthly fee statement as CSV files for Excel, Google Sheets, Numbers or your accounting software. Financial-year periods follow the Australian tax year.

Reviews and ABIA

Let the couples you've looked after speak

Reviews on NearlyWeds come from couples who booked you and paid in full, after their wedding. And if you collect reviews on ABIA, NearlyWeds can send couples your link for you.

Reviews on your listing

Couples can review you once their wedding has passed and the booking was paid in full, so every review is from someone you actually worked with.

  • See where you stand. Your average rating, total reviews, how many need a reply and a breakdown by star level.
  • Reply in public. Write your own reply or start from a template (Thank you, Apology or Short thanks). It shows under the review on your listing.
  • Share the good ones. Send a review to social media or a friend.
  • Report what breaks the rules. If a review is fake, abusive or about the wrong business, report it. Our team looks into every report.

Ask for reviews on ABIA

ABIA is the Australian Bridal Industry Academy. Couples can review your business on the ABIA website, and NearlyWeds can email them your link.

  1. Paste your ABIA review link from your ABIA business portal.
  2. Edit the email if you like. The couple's name, your business name and the event date can fill in for you, and your link becomes a Leave a review button.
  3. Open a past booking that's Paid in full or Completed and tap Send ABIA review request.

Couples only get the email when you send it. You can send again to the same booking after 7 days. ABIA reviews appear on ABIA, not in your NearlyWeds ratings.

Common questions

What does it cost to list my business?

Nothing. There's no listing fee and no subscription. NearlyWeds' fee is 5% of each payment a couple makes to you through NearlyWeds, deducted automatically. Stripe's own processing fee comes out of your Stripe balance separately.

See pricing and a worked example

Do I need a Stripe account?

Yes. Couples can't pay you until you connect one, and our team looks for it when reviewing your listing. You connect it from the app, and Stripe walks you through your business details, identity check and bank account. NearlyWeds never sees your bank or identity details.

What happens after I submit my listing?

Our team reviews it before it appears in the directory. You'll see your progress as Submitted, In review and Live, we email you as soon as a decision is made, and you can keep editing in the meantime. If we need something changed, we'll tell you what and you can resubmit.

What happens if a couple cancels?

The refund follows the cancellation policy on that booking, which is the one in place when the couple sent the request. Refund percentages apply to what's been paid so far. When a refund is made through NearlyWeds, our fee on the refunded amount is returned to you in proportion.

What if I need to cancel a booking?

Open the booking and tap Cancel booking. If you cancel, the couple is refunded everything they've paid, whatever your policy says. The refund comes out of your Stripe balance and NearlyWeds' fee on it is returned to you. If something has gone wrong, such as a couple who has stopped replying, tap Report a problem with this booking instead and our team will help.

Why should payments stay in NearlyWeds?

Taking payment outside NearlyWeds means the couple loses the protection of your cancellation policy and refunds, and you lose the booking history: the agreed package, changes, your accepted terms and every payment.

Can I offer more than one service?

Yes. Choose your main category, then up to 2 more under Also offers, such as photography and a photo booth. Couples searching those categories will find you too.

Can I take a break from new bookings?

Yes. Tap Pause listing and couples won't find you in the directory, while your existing bookings, messages and payments carry on as normal. Tap Publish listing when you're ready to come back. To close just a few dates, block them in your calendar instead.
